Apply On Duty Leave on Behalf of Employee (Reporting Manager)

Reporting managers can apply On Duty leave for their direct reports in HRStop. This is useful when employees are occupied with official tasks and cannot apply themselves or when managers need to regularize past On Duty attendance.


Step-by-Step Process:

Navigate to the On Duty Approval Section:

  • Log in to the Main Panel using your reporting manager credentials.
  • Go to:
    Main Panel → Leaves → Approve → Approve On Duty Tab

Fill Out On Duty Request Details:

A form will open with the following fields to fill:

  • Select Employee
    Choose the employee for whom you are applying the On Duty leave from the dropdown.
  • Leave Period
    Select the start and end date for which the On Duty leave is applicable.
  • Reason
    Provide a short explanation such as "Attending vendor meeting", "Training session", or "Client visit".
  • Supporting Document (Optional)
    Upload any relevant document (email invite, meeting agenda, etc.) if available.
  • Status
    Choose one of the following:
    • Approved – if the request is already confirmed.
    • Pending – if it still needs administrative approval.

Submit the Request:

  • Click Submit to save and send the On Duty request.
  • Use Reset to clear the form if you want to discard your inputs and start again.

After Submission:

  • The request will reflect under the employee's On Duty leave list.
  • If marked as Approved, it is considered final and does not require further action.
  • If Pending, the system will wait for the admin to approve it.

Tips:

  • Always double-check the leave period and reason before submitting.
  • Keep supporting documents ready if the organization mandates them.
  • Managers can track the request later under the Approve tab.
