Import audited updates in bulk

When you need to update information for many employees at once—like department changes, promotions, or transfers—you can use Bulk Import in HRStop. This saves time and keeps all updates properly recorded.

What can you update?

You can bulk update:

  • Department
  • Designation (Job Title)
  • Location
  • Entity (Business Unit)
  • Band/Grade

Each change is saved with the date and added to the employee’s profile history.

Steps to import audited updates in bulk

1. Go to the Audited Updates page

Path: Control Panel → Employee → Audited Updates

2. Click the Import button

In the top-right corner of the page, click Import.

3. Read the instructions

On the right side of the screen, you’ll see helpful instructions. Read them before continuing.

4. Download the sample CSV

Click Download Sample CSV File.
This shows you the format for filling in employee updates.

5. Fill in the CSV file

In the file, enter:

  • Employee Code
  • Email
  • Type (e.g., Department, Designation)
  • Old Value
  • New Value
  • Effective Date (e.g., 15-May-2025)

Add one row per update.
Make sure all values match your HRStop system.

6. Upload the file

  • Click Upload File.
  • Select your CSV file.
  • Choose the correct date format.
  • (Optional) Select the checkbox to update the employee profile.

7. Review and upload

  • Click Review and Upload.
  • Check that all data looks correct.
  • Click Upload.

8. Fix errors, if any

  • If something is wrong, it appears in the Reason column.
  • Correct the issue and upload again.

9. View changes

  • All correct updates are saved immediately.
  • You can view them in the employee’s profile timeline.

Example

You want to change the department for 10 employees from "Support" to "Sales":

  1. Fill in the CSV with:
    • Employee Code
    • Email
    • Type: Department
    • Old Value: Support
    • New Value: Sales
    • Effective Date: 20-May-2025
  2. Upload and review.
  3. Done! All changes are saved and tracked.

Tips

  • Use correct values that exist in your system.
  • Double-check dates and spellings.
  • Use “Review” before the final upload.

Using Bulk Import saves time and ensures all changes are recorded properly for future reference.
