Full and final settlement
Full and final settlement, commonly known as the FnF process, is done when an employee leaves the organization. At this time, the employee must be paid for the last working month plus any additional earnings or deductions. The employer carries out this procedure after the employee resigns.
In this section, you process the full and final settlement for employees. You can see the list of employees and check the following details:
- Employee Name
- Department
- Designation
- Pay Structure
- Actions
How to view the full and final settlement of employees
Navigate to Control Panel → Payroll → Full and Final Settlement.
The full and final settlement screen appears, containing the following information about employees:
Employee Name
Department
Designation
Pay Structure
Actions
Only employees who have an exit date and whose full and final settlement has not been completed are shown here.
Click the full and final link in the Action column of the table. A new page opens.
This page shows default information. In this step, you can change the full and final period by selecting the salary generated from and to dates in the date picker. You can change the Attendance Period and select the Salary Month (this payslip/record appears in the report for the selected month).
To Include selected gratuity in the payslip, select the checkbox.
To Send Email, select the checkbox: Once full and final runs successfully for the selected period, payslips are emailed to the respective employees. If you clear this checkbox, payslips are available on the HR portal but are not emailed to the employees.
Click Next to go to the Attendance section. This page shows the details of attendance, LOP and leave encashment, and you can manually adjust any data.
Click Next to go to the Expense Report section. This page shows the details of approved expenses during the payroll period, and you can manually adjust any data.
Click Next to go to the Advance Salary section. The table displays the advance salary details.
Click Next to go to the Loan section. This step shows the employee's loan details, if any.
Click Next to go to the Arrears section. In this step, you can add any kind of arrears and additional deductions to the employee's salary.
Click Next to go to the Update Tax section, where you can view the details of professional tax and income tax.
Click Next to go to the Final preview section, which shows the final review of the employee's salary.
Click Next again to generate the full and final settlement for your employees. Finally, click Finish. The employee's salary slip is generated and you are redirected to the payslip page.
How to delete the payslip for a full and final settlement
You can delete payslips processed for a full and final settlement as required, or if there are any changes in the full and final statement. Follow the steps below:
Navigate to Control Panel → Payroll → payrolls.
A new page appears, showing the fields to delete a payslip.
Select the month for which you want to delete the full and final settlement payslip.
Scroll down and select the Full and Final section in the table.
The processed full and final settlement appears. Delete it by clicking the delete option in the Action column. Once the processed full and final settlement has been removed, go to Control Panel → Payroll → Full and Final Settlement.
The list shows the employee's full and final settlement with an unprocessed status.
