Restrict leave credit based on employment type

Leave entitlements often differ based on an employee's employment type—for example, confirmed employees may receive full leave credits, while those on probation may receive reduced or no leave. Setting up entitlement rules by employment type ensures that your leave policy is fairly and accurately applied.

Why it matters

Restricting leave credit by employment type helps:

  • Ensure fairness in leave allocation
  • Prevent leave credits for ineligible employees
  • Align leave policies with HR-defined employment categories (e.g., Probation, Confirmed, Contractual)

Steps to restrict leave credit based on employment type

1. Go to the Control Panel

Navigate to
Leaves → Entitlement from the admin dashboard.

2. Select the leave category

Choose the applicable leave type (e.g., Annual Leave, Sick Leave) that you want to configure by employment type.

3. Define the employment type

  • In the rule setup, locate the Employment Type filter.
  • Select the relevant status:
    • Probation
    • Confirmed
    • Contractual, etc.
  • Create separate rules for each employment type if needed.

4. Customize leave allocation

  • Set the leave amount, credit frequency (monthly, yearly), and any specific conditions.
  • Example:
    • Probation employees = 0 or limited leaves
    • Confirmed employees = Full entitlement

5. Save the rule

Click Save to apply the configuration.
The system now credits leave based on the employment type defined in each employee’s profile.

Best practices

  • Review employment status regularly to ensure leave is applied correctly.
  • Use Deferred Crediting for leaves to be granted post-confirmation.
  • Avoid frequent rule changes to prevent mismatches in leave balances.
