Enable password protection on generated documents

Previewing a document lets you review the generated document before creating the final version. This helps verify employee information, placeholder values, calculations, formatting, and manually entered information before generating the final document.

Navigation path: Control Panel → Forms/Policies → Document Templates → Generate Document

Preview a document before generation

To preview a document:

  1. Navigate to the Document Templates page.
  2. Select the required template.
  3. Select the employee.
  4. Review and update the required values.
  5. Click Preview.
  6. Review the generated document.
  7. Return to the generation screen if changes are required.

What can be verified during preview

Item Description
Employee Information Verify employee details populated from the system.
Placeholder Values Verify values populated through System Keys and administrator-defined Custom Keys.
Formula-Based Calculations Verify values generated using configured formulas.
Manually Entered Values Verify values entered during document generation.

When should you use preview?

Previewing a document is particularly useful in the following scenarios:

  • Generating a document using a newly created template.
  • Generating a document after updating an existing template.
  • Generating compensation-related documents containing calculations.
  • Verifying manually entered values before generation.
  • Reviewing documents before publishing them to employees.

Where it reflects

Preview displays how the generated document will appear after generation. Previewing a document does not create, save, publish, or download the document.

Important notes

  • Preview does not generate the final document.
  • Changes can be made after previewing and before generating the document.
  • Formula-based values are calculated before the preview is displayed.
  • Review the preview carefully before generating employee-facing documents.
  • Preview reflects the current values available at the time the preview is generated.

Frequently asked questions

Can I restrict document access with a password?

Yes, HRStop supports password protection for PDF versions of documents.

How to enable

  1. During document generation, locate the checkbox:
    • “Make Document Password Protected”
  2. Select this option before you click Generate.
  3. The password follows the same rules as Payslip Password Configuration (e.g., PAN + DOB).

Password protection applies only to PDF documents, not to .docx files.

This is especially useful for sensitive documents like:

  • Compensation Breakups
  • Increment or Appraisal Letters
  • Termination Letters
Can generated documents be password protected?

Yes. You can enable password protection during document generation to secure generated documents.

Are DOCX documents generated via HRStop password protected?

No. Password protection is supported only for generated PDF documents.

How is the password for generated documents determined?

Generated documents use the Payslip Password Configuration defined within the system.

Does password protection work for bulk document generation?

Yes. Password protection can be applied during both individual and bulk document generation.

Do password-protected documents remain protected when published to employees?

Yes. Password protection applies irrespective of whether the document is downloaded, saved to employee records, or published to the employee.

Can password protection be added after a document has already been generated?

No. Password protection must be enabled before generating the document.
