Manage assets
This article explains how to manage assets in the system.
Navigate to the control panel (main dashboard for system settings). From the control panel, go to the asset section (module for managing company resources like laptops, phones, etc.).
Click the View/Add option (the section where you can see and add records). In the View/Add option, you can see all the company’s assets and filter the information on the basis of:
- Categories (types/groups of assets)
- Department
- Designation (job title/position of employees)
- Brand (manufacturer or make of asset)
- Assignment (allocation of assets as assigned/unassigned)
You can also filter by employees (individual staff records) as well. To see the assets assigned to a particular employee, select the employee and filter the information. You can also filter assets on the basis of life stages (status of the asset: new, working, not working, or dead)
You can also download the list as a CSV file (spreadsheet format) using the export option, and a PDF export (document format) option is also available.
When you scroll down, you can see all the asset names along with their codes (unique identifier), next service date (scheduled maintenance date), procurement (purchase/vendor details), who they are assigned to (employee allocation), when they have been assigned (issue date) and action options (buttons for performing updates) next to each asset.
Various action icons (shortcut buttons) are available here, such as:
- Request Return (feature to initiate asset return) – To request the return of an asset, click this option. Enter the expected return date and any comments with your request.
- Change Return Date (update feature) – You can also change the return date from this option.
- Release (unassigning the asset) – If an employee is leaving the organization, release their assets. Click release, enter the information, and release the asset. Once released, you can assign it to someone else.
- Edit Assignment (update details) – Click this option to change any details of the asset assignment, and then click update.
- Copy to New (clone option) – You can create a clone of this information, make minor changes, and then save it as new.
- Delete (remove assignment) – Delete the assignment of the assets and all the information that you have entered regarding the same.
You can also group by (categorize view) and see the details by:
- Asset category
- Brand
- Without any group
You can also perform some bulk actions (apply changes to multiple assets at once), such as:
- Select the check boxes for the assets you want to update, and then click Actions.
- You can assign in bulk.
- You can update the life stage.
- You can release assets.
- You can delete assets in bulk.
For example, if you want to bulk assign or update the life stage in bulk to “new” for all three of them, you can do it from here.
In this way, you can manage the assets assigned to all employees in the company.
