Audited updates part 1
0:00 This video explains audited updates.
0:03 Audited updates are used when there is a change in an employee's department or designation.
0:08 They are also used for transfers, and you can see all of these updates in the historic records of the respective employee's profile.
0:17 To make audited updates, go to Control Panel → Employee → Audited Updates.
0:24 The Audited Updates page opens. On this page, select the individual employee whose designation, department, location or entity you want to change.
0:33 When you select the employee, you can see their details, such as email, mobile number, reporting manager, date of joining and confirmation date.
0:44 If you scroll down, you can see the Department, Designation, Band, Grade, Entity and Location tabs.
0:50 To change the department, click the Department tab and select the new department.
0:56 If a department is currently assigned to the employee, it is also visible here.
0:59 Select the new department, add the effective from date (the date from which the new department or designation applies), add any notes or comments, and click Add Details.
1:10 Any previous department changes are visible on the right-hand side of the page for your reference.
1:18 To change the designation, follow the same process. Select the new designation and the effective date, and add any notes or comments.
1:26 For bands, grades, entities and locations, go to the respective tab and select the new value. Ensure that the new location or designation is already added in the system so that it appears in the dropdown.
1:37 This is how you make changes for individual employees.
1:41 To change the designation or department for many employees in bulk (for example, 15 to 20 employees), use the Import option at the top-right corner of the page.
1:50 Click Import, download the sample CSV file and open it.
1:57 Enter the name, employee code and email of each employee whose designation or department you want to change.
2:05 Enter the date and the type (department, designation or location), and then enter the old value and the new value.
2:13 After completing the sheet, save the file and upload it here.
2:17 Make sure that the date format selected matches the effective dates in the file. There is also a checkbox to update this data in the employee profile.
2:25 If you want to show this in the employee profile as well, select this option.
2:28 A brief description of this option is also available for reference. Click Review and Upload.
2:34 When you click Review and Upload, the system shows the content of the file so that you can review and upload it.
2:41 All these changes are reflected in the employee's profile.
2:44 For example, if you edited the designation or department of an employee, go to Employee → View and Add and open the employee profile to see the exact update.
2:55 You can see the exact update for the employee.
2:58 Go to the timeline to see all the changes.
3:02 The timeline shows whether anything has changed for that employee regarding designation, department or location.
