Apply for on duty leave on behalf of an employee (reporting manager)

As a reporting manager, you can apply for On Duty leave for your direct reports in HRStop. This is useful when employees are occupied with official tasks and cannot apply themselves, or when you need to regularize past On Duty attendance.


Step-by-step process

  • Log in to the Main Panel using your reporting manager credentials.
  • Go to:
    Main Panel → Leaves → Approve → Approve On Duty Tab

Fill in the On Duty request details

A form opens with the following fields:

  • Select Employee
    From the dropdown, choose the employee for whom you are applying for On Duty leave.
  • Leave Period
    Select the start and end dates for which the On Duty leave applies.
  • Reason
    Provide a short explanation such as "Attending vendor meeting", "Training session", or "Client visit".
  • Supporting Document (Optional)
    Upload any relevant document (email invite, meeting agenda, etc.) if available.
  • Status
    Choose one of the following:
    • Approved – if the request is already confirmed.
    • Pending – if it still needs administrative approval.

Submit the request

  • Click Submit to save and send the On Duty request.
  • Use Reset to clear the form if you want to discard your inputs and start again.

After submission

  • The request appears in the employee's On Duty leave list.
  • If marked as Approved, it is considered final and does not require further action.
  • If Pending, the request waits for the admin to approve it.

Tips

  • Always double-check the leave period and reason before submitting.
  • Keep supporting documents ready if the organization mandates them.
  • You can track the request later under the Approve tab.
