How to enable the Dual Approval in Leaves

Sep 16, 2023

Dual approval ensures a leave request goes through two levels of validation—typically first by the reporting manager, then by the HR/Admin. This provides better oversight and accountability, especially in organizations with layered hierarchies or sensitive leave policies.

Steps to Enable Dual Approval for a Leave Category

Follow the steps below to configure dual-level approval for any specific leave category:

  1. Go to the Control Panel
    • From your dashboard, navigate to Control Panel > Settings > Leave Section.
  2. Select the Leave Category
    • Click on Leaves and choose the Leave Category you wish to apply dual approval to (e.g., Sick Leave, Casual Leave, Comp-Off).
  3. Edit the Category Settings
    • Open the selected category and locate the section for Approval Settings.
  4. Enable Manager Approval
    • Tick the checkbox:
“Allow managers to approve Leave Credit Requests for their reportees.”
  5. Set the Approval Status
    • From the dropdown or toggle option, select:
“Status on approval should be: Manager Approved”
    • This allows the system to mark the request as "Manager Approved" until it receives final approval from the Admin (or next-level approver).
  6. Save Your Changes
    • Click Update/Save to apply the dual approval workflow to the selected leave category.

What the Employee & Approvers Will See

  • Employee: After submitting a leave request, the status will reflect as “Pending” until acted upon.
  • Manager: The manager approves, and the status changes to Manager Approved.
  • Admin/HR: Final approver completes the cycle by changing the status to Approved.

Best Practice Tips

  • Apply dual approval only to leave categories that require higher validation (e.g., Leave Encashment, Long-Term Leaves).
  • Clearly communicate the approval stages to employees so they understand the delay in final approval.
  • Use notifications to keep both approvers in the loop to avoid processing delays.
