Creating Dummy Email IDs

In HRStop, dummy email IDs are used when the actual email addresses of employees are not available—especially during initial implementation or while adding new hires whose official email IDs are yet to be created.


When to Use Dummy Email IDs:

  • During the implementation phase, when employee email IDs are not yet generated.
  • When adding blue-collar workers or employees who may not require access to the system.
  • For temporary use until professional email IDs are created.

How to Create a Dummy Email ID:

You can create dummy email addresses based on a valid domain like Gmail or your organization’s domain. Here are a few examples using abc@gmail.com as the base:

  • abc123@gmail.com
  • abc+456@gmail.com (Note: Gmail treats abc+456@gmail.com the same as abc@gmail.com, but the system will recognize it as a unique entry.)

You can create as many dummy email IDs as required by following this pattern.


How Dummy Email IDs Are Used:

  • These email IDs can be used to add employees to the system even when actual email information is pending.
  • Employees can log in using these dummy IDs if system access is required before their official IDs are available.
  • In the case of employees who won’t access the system (e.g., certain field or contract workers), dummy IDs ensure that their profiles are still properly maintained in HRStop for record-keeping and HR processing.

Note:

  • Keep a record of all dummy email IDs created for easy tracking and future updates.
  • Once the official email ID is available, you can update the employee profile accordingly.
