Employee Panel or Main Panel : How to Fill the Timesheets?

Overview:

Employees in HRStop can submit their daily or weekly timesheets directly from their portal. This ensures accurate project tracking, billing, and performance measurement.


Navigation Path:

Employee Panel → Timesheet → Submit


Step-by-Step Instructions:

1. Choose the View: Daily or Weekly

  • Based on what is enabled in your organization, you will see:
    • Daily View: Used for detailed, day-by-day time tracking.
    • Weekly View: Used for summarizing hours across the week.

If “Detailed Timesheet” is made mandatory by the admin, only Daily View will be available.


2. Fill in Timesheet Entries

For both Daily and Weekly views, the following information may be required:

ProjectSelect the project you worked on. Only assigned projects will show.
TaskPick a task (if project task mapping is enabled).
Description(Daily View only) Describe the work done.

HoursEnter the total hours worked (per day for Weekly View, or per entry for Daily View).

3. Attach Documents (Optional)

  • Click on the attachment icon or "Add Document" option if your work requires uploading deliverables, proof, or references (e.g., client notes, reports).

4. Add More Entries (if needed)

  • Use "Add Row" to log time for multiple projects or tasks in the same day or week.

5. Save Draft or Submit

  • Use "Save" to store entries without submitting them yet.
  • Once finalized, click "Submit for Approval".

Once submitted, you may not be able to make further edits unless the entry is rejected by the approver.


Best Practices:

  • Log time daily to avoid errors and maintain accuracy.
  • Include clear, task-based descriptions when submitting via Daily View.
  • Don’t wait until the deadline—late submission may lead to LOP or rejections.

No, once a timesheet is submitted, employees cannot edit it unless it is rejected by the manager or admin.

What You Can Do:

  • Admin or Approver must reject the timesheet
  • Once rejected, it reopens for the employee to make edits
  • The employee must then resubmit for approval

Employees can view the approval status via the Summary View.

  1. Login to your portal
  2. Go to: Timesheet > Summary
  3. For each date, you can see:
    • Status (Present, Absent)
    • Submitted Hours
    • Approval Status (Approved, Rejected, Pending)
