Assign Project – How to Assign Projects to Employees or Departments

Overview:

Once a project is created in HRStop, it must be assigned to users. Projects can be mapped to departments, designations, or individual employees. This ensures only the relevant users can log hours against specific projects.


Navigation Path: 

Control Panel → Timesheet → Dropdown next to Manage Project → Assign Project


Assignment Options:

Option 1: Department/Designation Mapping

Use this when:

  • A whole team or job role (e.g., Developers or QA Engineers) is working on the same project.

Steps:

  1. Select:
    • Department (e.g., IT, Marketing)
    • Designation (e.g., Developer, Analyst)
  2. Choose the Project to assign.
  3. Click Save to map it.

Projects assigned this way are automatically made available to all employees matching the selected department and role.


Option 2: Individual Employee Mapping

Use this when:

  • Specific employees need to be mapped to certain projects.

Steps:

  1. Scroll to the Employee Mapping section.
  2. Select:
    • Project
    • Employee Name
    • Billable/Non-Billable status
  3. Click Save.

Repeat for multiple employees or use bulk import for efficiency.


Bulk Import Project Assignments:

  1. Click Import at the top of the Assign Project page.
  2. Download the sample CSV file.
  3. Fill in:
    • Employee ID/Email
    • Project Name
    • Billable/Non-Billable (Yes/No)
  4. Upload the file.
  5. Click ReviewUpload.

Export Assigned Project Data:

  • Click Export on the top-right to generate a report of current assignments.
  • Useful for audits, PM reviews, or billing teams.

Edit or Remove Assignments:

  • In the list view, click the Edit or Delete icon next to any existing mapping.

Best Practices:

  • Assign projects immediately after creation to avoid employee timesheet submission errors.
  • Use department mapping for large-scale project rollouts.
  • Maintain a master sheet of assignments to sync HRStop imports with internal tools.
