Overview:
To streamline project allocation at scale, HRStop provides a bulk import feature for assigning projects to employees. This eliminates the need for repetitive manual assignments, especially useful for onboarding new hires or shifting teams across projects.
Navigation Path:
Control Panel → Timesheet → Click the dropdown beside Manage Project → Assign Project → Import
Step-by-Step Process:
1. Click on "Import"
Located at the top-right of the Assign Project page.
2. Download Sample CSV File
- Click “Download Sample File” to get the exact format required by the system.
- This file includes the necessary headers to ensure successful import.
3. Fill in the CSV File
Populate the sheet using the following fields:
Column Name | Description | Example |
---|---|---|
Employee | Email ID or Unique Employee ID used in HRStop | neha.singh@company.com |
Project Name | Exact name of the project (must match existing project) | Client_Onboarding |
Billable/Non-Billable | Enter Yes if billable, No if not | Yes / No |
Ensure there are no typos in employee names or project names, as mismatches will cause import errors.
4. Upload the File
- Click on “Choose File” to upload the filled-in CSV file.
5. Review the Data
- HRStop will show a preview with validation checks.
- If any entries fail, correct the CSV and re-upload.
6. Click “Import”
- Once validation is successful, the system assigns the listed employees to the respective projects.
- A success message will confirm the import.
Export for Review:
- Use the Export option to get a report of all current assignments.
- Recommended for cross-checking or generating documentation.
Best Practices:
- Maintain a master spreadsheet to track project-employee assignments before import.
- Use department-wise filters to export and modify only relevant mappings.
- Always double-check project names and employee IDs/emails.
