HRStop allows Admins to define and manage company-wide leave rules. These settings determine how employees apply for leaves, how managers handle approvals, and how the system calculates leave balances.
This article explains how to set up and manage leave configuration settings step by step.
Leave Settings
To get started, go to: Control Panel → Settings → Leaves
This will open the Leave Configuration page where you can update general leave settings and create new leave categories.
General Leave Settings
Once you're on the page, you'll see several options. Here's what each setting means:
1. Leave Calendar Year
Choose the month in which your leave year begins. This month will be used to reset leave balances and calculate entitlements each year.
2. Default Leave Credit Frequency
Decide how frequently leave is credited to employees by default. Options include monthly, quarterly, or yearly. This can be overridden at the individual leave category level if needed.
3. Minimum Leave Period
Select the smallest unit of leave that employees can apply for:
- Half Day – Allows applying for First Half or Second Half of the day
- One-Fourth Day – Allows applying for First, Second, Third, or Fourth Quarter of the day
4. Number of Hours in a Day
Define how many hours make up one working day. This is used for hourly leave calculations.
5. Leave Escalation and Hold Status
When enabled, this allows managers to escalate a leave request to a higher authority or put a leave on hold if a decision cannot be made immediately.
6. Peer Acknowledgement
When enabled, employees can request their peers to acknowledge and take over responsibilities during their planned leave period. This is useful for work continuity.
7. Allow Managers to Approve Leave Credit Requests
If enabled, managers can approve leave credit requests submitted by their team members. The approval status will reflect as “Manager Approved”.
8. Maximum Days to Apply for Leave Credit Request
Set the maximum number of days within which an employee can apply for a leave credit request.
9. Allow One-Fourth Day Leave Credit Requests
Enable this option to let employees request leave credit for one-fourth of a working day.
10. Allow Leave Approvals After Payroll
If enabled, leave requests can still be approved after payroll has been processed, provided the attendance status allows it.
Advance Leave Rules
Click the Configure button under “Advance Leave Rules” to set detailed policies on how weekends and holidays are handled during long leave durations.
You’ll have two options:

Consider weekends after X days
For example, if an employee applies for leave from the 1st to 15th and you set the value as 10 days, only weekends after the 10th day will be counted as leave. -
Consider all weekends and holidays
If enabled, every weekend and holiday falling within the leave period will be counted as leave days, regardless of duration.
Saving Your Settings
Once all your configurations are complete:
- Click Save to save your changes
- Click Update to apply them across the system
All changes are applied instantly.
Adding New Leave Categories
Scroll down to the Add Leave Category section to create a new type of leave. You can define rules such as:
- Name of the leave
- Credit frequency
- Applicability (specific departments or roles)
- Carry forward rules
- Encashment options
You can also scroll down to view or edit existing leave categories.
Use these settings to ensure your leave policy is well-defined, easy to manage, and transparent for all employees.

- Reporting manager can approve/ reject leave requests applied by the employees
- Reporting manager can also apply leaves on behalf on employees
- Admin can also approve or reject any pending leaves applied by the employees
- Admin can apply leaves on behalf of employees

- Admin can also bulk apply leaves for employees
- Admin can apply for optional holiday on behalf of employees
- Admin can define the leave entitlement rules
