View-Apply leaves (Employee level)

Employees can easily apply for different types of leaves directly from their HRStop portal. The system offers multiple options, including regular leave, optional holidays, compensatory offs, on-duty requests, and work-from-home applications.

How to Apply for Leave

  1. Navigate to: Main Panel -> Leaves -> View/Apply
  2. On this page, you'll find:
    • Your current leave balance
    • Entitled, Credited, and Availed leave count
  3. To apply for a leave:
    • Go to the Apply tab
    • Select the Leave Type (e.g., Casual, Sick)
    • Choose the Leave Period (From and To date)
    • View any specific rules/policies associated with the selected leave type
    • Enter the Reason for leave
    • Click Submit
  4. All your leave applications will appear in the My Leaves section with their respective statuses:
    Approved | Pending | Rejected

Optional Holidays

  • Navigate to the Optional Holiday tab (Visible only if enabled by your company).
  • Select the Holiday and Date
  • Submit your application

Compensatory Off (Credit Request)

  • Go to: Leaves -> View/Apply -> Credit Request
  • Select Credit Type (e.g., Comp Off)
  • Choose Half Day / Full Day
  • Enter the Date worked (holiday/weekend)
  • Provide the Reason and submit

On-Duty Requests

  • Select the On Duty tab
  • Input Start Date and End Date
  • Choose options to skip present days, week offs, or holidays if required
  • Attach a supporting File (if applicable)
  • Submit the request

Work From Home

  • Click on the Work From Home tab
  • Select the Duration
  • Choose options to skip week offs or holidays
  • Enter Reason and attach a File if needed
  • Submit the application

Leaves Calendar

  • View all applied leaves in a calendar format
  • Statuses are color-coded:
    • Green - Approved
    • Grey   - Pending
    • Red  -   Rejected
    • Blue -  Forwarded

FAQ

Yes, you can cancel/delete a leave only if it is still in pending status.

Steps to Cancel a Pending Leave:

  1. Navigate to: Leaves -> View/Apply
  2. Scroll to the My Leaves section
  3. Locate the leave entry marked as Pending
  4. Click on the Delete option next to it

Note: If the leave is already Approved, you won’t be able to cancel it yourself. Please reach out to your manager or admin if cancellation is necessary.

The Optional Holiday tab is visible only if your organization has enabled this feature in the leave policy.

=> If this tab is not visible to you:

  • Check with your HR/Admin to confirm whether the optional holiday module is active in your company.
  • If the policy is active, you will find the tab under: Leaves -> Optional Holiday

Yes, employees can apply for half-day leaves depending on the leave type and policy configured by the admin.

To apply for a half-day leave:

  1. Go to: Leaves -> View/Apply
  2. Select the Leave Type
  3. Choose the Date and specify the Duration as Half Day
  4. Enter the Reason and click Submit

=> Note: Not all leave types may support half-day applications. Refer to the rules shown on the screen while selecting the leave type.

All applied leaves and their current statuses are visible in the My Leaves section.

To view leave status:

  1. Navigate to: Leaves -> View/Apply
  2. Navigate to the My Leaves tab area
  3. You will see a list of leave requests along with their statuses:
    • Approved
    • Pending
    • Rejected

You can also view them on the Leaves Calendar, which uses color-coded statuses for quick reference.

You can raise a Credit Request to apply for a compensatory off if you've worked on a weekend or public holiday.

Steps to Apply for Compensatory Off:

  1. Go to: Leaves -> View/ Apply
  2. Click on the Credit Request or Compensatory Off tab
  3. Select the Credit Type (e.g., Comp Off)
  4. Choose Half Day or Full Day
  5. Enter the Date you worked and the Reason
  6. Upload a File/Proof if required
  7. Click on Submit

Once submitted, you can monitor the request status under the same section.
