Geo-fencing is a powerful feature that allows you to set virtual geographic boundaries, ensuring that employees can only mark their attendance within specified locations. If you've opted for the Geo-Fencing add-on feature, here's a simple step-by-step guide to help you enable it and get started:
Step-by-Step Guide
1. Navigation
Navigate to the Control Panel ⇒ Settings ⇒ Attendance ⇒ Configure.
(You need to have authorized admin permissions for the Settings Module to access this page.)
2. Access Geo-Fencing
Navigate to the "Mobile Attendance" section, where you’ll find an option labeled Configure Geo-Fencing. Click on it to proceed.
3. Enable the Feature
On the next page, locate the option Enable Geo-Fencing and enable it to activate the feature.
=> Geo-Fencing Setup Fields
Once enabled, you will be required to fill in the following details for your Geo-Fencing setup:
- Title: This field is mandatory. If you have multiple locations, you can label each one accordingly (e.g., "Location 1," "Location 2," etc.). Make sure to give each location a unique title for easy identification.
- Description: This field is optional. Add a description if necessary to provide further context about the location.
- Address: Provide the full address of the location. It is necessary to define the precise geographical area for attendance tracking.
- Latitude: Enter the latitude coordinates of the location. This should be a decimal number with up to 14 decimal places.
- Longitude: Enter the longitude coordinates of the location, formatted as a decimal number with up to 14 decimal places.
-
Radius (meters): This defines the allowed periphery within which employees can mark their attendance.
A recommended radius is 50 meters, but a smaller radius (e.g., 10 meters) could lead to GPS inaccuracy.
It's important to note that GPS on mobile phones may have limited accuracy, so adjusting the radius might help minimize discrepancies in attendance tracking.
After entering the details, click on Save.
Note: If you wish to swap the longitude and latitude, we have an option to do so. Simply click on the icon, and the coordinates will be swapped.
=>Review and Edit Coordinates
Once saved, the coordinates will appear under the Allowed Coordinates section.
You can preview, edit, or delete them using the icons in the Actions column:
- Preview: Click the Preview icon to view the geo-fencing details (such as the location, radius, and coordinates).
- Edit: Click the Edit icon to modify the location's details. Once changes are made, click on Save.
- Delete: Click the Delete icon to remove the location's geo-fence setup.
=> Tips/Recommendations for Geo-Fencing Setup
-
Latitude: Geographic coordinate that specifies the north-south position on Earth.
NOTE: It is recommended to use at least 7 decimal places for better accuracy. -
Longitude: Geographic coordinate that specifies the east-west position on Earth.
NOTE: It is recommended to use at least 7 decimal places for better accuracy. -
Radius: Defines the area around the specified coordinates within which employees can mark their attendance.
NOTE: A radius of 50 meters is ideal. A smaller radius (e.g., 5–15 meters) may result in GPS inaccuracies that could affect attendance tracking.
=> How to Retrieve Coordinates for Geo-Fencing Setup
Using Google Maps:
- Search for the address on Google Maps.
- The latitude and longitude will appear in the URL or can be retrieved by right-clicking on the map.
Employee Coordinates:
If geo-fencing is not yet enabled, you can ask employees to punch in from different locations. Their coordinates will appear in their attendance summary within the HRStop app.
To access the coordinates, follow these steps:
- Log in to the HRStop app using your credentials.
- Navigate to the Attendance section.
- Select the employee's name whose attendance details you would like to view.
- Their full attendance history will be displayed. Find and click on the specific date when the employee marked attendance from a different location.
- The exact coordinates of the location from which they marked attendance will be visible for that date.
=> Conclusion
Enabling Geo-fencing will restrict employees from marking attendance outside the permitted geographic boundaries. With this feature, you can enhance attendance tracking by ensuring employees only check in when within the defined radius.
