Triggering an Appraisal

Triggering an appraisal in HRStop creates a salary revision entry for an employee. Once triggered, the appraisal can be reviewed and published to apply the revised salary from the selected effective date. HRStop supports three methods of salary revision assigning a new salary template, updating individual component values, or applying a percentage increment.

Before You Begin

Before triggering an appraisal, ensure the following:

  • The employee has a salary template assigned in HRStop Payroll
  • The employee's salary is updated against the assigned salary template

Navigation Path: Control Panel → Payroll → Appraisals → Trigger Appraisal

Steps to Trigger an Appraisal
  1. Navigate to the Appraisals page.
  2. Click + Trigger Appraisal.
  3. Select the Employee for whom the appraisal is being triggered.
  4. Select the Effective Date the date from which the revised salary will be applicable.
  5. Select the Salary Update Type refer to the section below for details on each option.
  6. Configure the salary details based on the selected Salary Update Type.
  7. Enter any relevant Notes about this appraisal (optional).
  8. Review the Current Salary Break Up and verify the New Salary Break Up.
  9. Click Submit to trigger the appraisal.

The appraisal entry is created in the system upon submission. The employee's salary is revised only after the appraisal is published. Refer to: Managing Appraisals

Salary Update Types

HRStop provides three options for updating an employee's salary during an appraisal. Select the option that best suits the type of revision being made.

Assign New Salary Template

Use this option when the employee needs to be moved to a different salary template. The new salary breakup will be based on the components defined in the selected template.

  • Select the New Salary Template from the available options
  • The system displays the Current Salary Break Up and the New Salary Break Up based on the selected template
  • Review and update the New Salary Break Up values if required before submitting
Update Only Salary of Employee

Use this option when the salary template remains the same but individual component values need to be updated. The existing salary template is retained and only the component values are changed.

  • The system displays the Current Salary Break Up and an editable New Salary Break Up
  • Enter the CTC and use Variable or Fixed to populate component values, or update individual components manually
  • Review the values before submitting
Enter Appraisal Percentage

Use this option when a percentage increment needs to be applied across the employee's current salary components.

  • Enter the Increment Percentage to be applied
  • The system automatically calculates the new component values based on the entered percentage when you click on "Tab" button
  • The following additional options are available to control how the increment is applied:
Option Description
Do not change amount of following components Absorb Excluded Component Increment InSelect salary components that should remain unchanged during the increment. The increment amount that would have been applied to these components will instead be absorbed in the component selected under "Absorb Excluded Component Increment In".
Absorb Excluded Component Increment In Select the component that will absorb the increment amount from the excluded components above.
Round off component values and adjust difference in Rounds each salary component value to the nearest whole number and adjusts the total rounding difference in the selected component.
Target Monthly Total / Adjust Difference In Enter a fixed monthly salary total. If the sum of all calculated components does not match this target, the difference will be adjusted in the selected component.
Where It Reflects

Once triggered, the appraisal entry appears on the Appraisals list page with a status of Triggered. The employee's salary is revised only after the appraisal is published, effective from the selected date. Important Notes
  • Only users with authorised payroll administrative access can trigger appraisals.
  • The employee must have a salary template assigned and salary configured before an appraisal can be triggered.
  • Triggering an appraisal does not immediately revise the employee's salary the appraisal must be published for the salary revision to take effect.
  • An appraisal can be triggered for multiple employees simultaneously using a CSV file. Refer to: Triggering Appraisals in Bulk
