Configuring Peer Acknowledgement for Leave Requests

May 16, 2025

Peer acknowledgement allows employees' leave applications to be visible to or acknowledged by their peers, helping teams stay informed of each other’s planned absences and ensuring smoother coordination.

This is especially helpful in cross-functional or collaborative teams where colleagues rely on each other’s availability for day-to-day tasks.

Benefits:

  • Enhances transparency across departments.
  • Encourages accountability.
  • Reduces workflow disruptions due to unanticipated absences.

Steps to Configure Peer Acknowledgement:

  1. Access Leave Configuration:
    • Go to Control Panel > Settings > Leave Section.
  2. Enable Peer Acknowledgement Module:
    • Find and enable the setting for Peer Acknowledgement.
    • This activates peer visibility features for leave requests.
  3. Select Acknowledgement Hierarchy Basis:
    • Choose how peers are defined:
      • By Reporting Hierarchy: Peers are based on who shares the same manager.
      • By Department: Peers belong to the same functional department.
  4. Define Acknowledgement Scope:
    • Decide whose leaves are visible:
      • Same Department Only: Employees will only see leave requests from their department.
      • Same Manager: All employees reporting to the same manager can see each other’s leaves.
      • Entire Organization (optional): Everyone can see all leave applications (less common).
  5. Optional – Notification Settings:
    • You can configure whether peers receive notifications or alerts when someone applies for a leave.
  6. Save Configuration:
    • Click Update to apply all changes.

Employee Experience:

  • While applying for a leave, employees may see a list of peers on leave during that time.
  • They may be asked to acknowledge a peer’s leave depending on the setup.
  • In some setups, peers may only be notified without needing to act.

Note: Peer acknowledgement is not an approval. It is an awareness or visibility mechanism.

Make sure your HR policies clearly state the purpose and expectations around this feature to avoid confusion.
