Managing Reward Points

Purpose

The Reward Points system in HRStop helps companies track, credit, adjust, and redeem points earned by employees through engagement activities such as quizzes, surveys, punctuality, or awards.


Key Actions Admins Can Perform


1. Manually Adjust Reward Points

Use Case: HR wants to reward an employee for helping with an office event.

Steps:

  1. Go to: Control Panel -> Engagement → Rewards.
  2. Click on Manually Adjust Points
  3. Fill in:
    • Employee Name
    • Reward Category
    • Points to be added or deducted (use a minus sign for deduction)
    • Reason for adjustment
  4. Click Save

2. Bulk Import Reward Points (CSV)

Use Case: Rewarding all employees who attended a training.

Steps:

  1. Go to: Control Panel -> Engagement → Rewards → Import 
  2. Download the sample CSV template
  3. Fill in:
    • Employee ID or Email
    • Reward Category
    • Points
    • Comments
  4. Upload the CSV and click Submit

System will process and reflect reward entries in the dashboard.


3. Approve or Reject Point Requests

Some systems allow employees to request rewards manually (based on configured settings).

a. Point Requests

  • Go to: Control Panel -> Engagement → Rewards -> Point Requests 
  • View employee-submitted claims
  • Approve or reject with remarks

b. Redeem Requests

  • Go to: Control Panel -> Engagement → Rewards -> Redeem  Requests 
  • Check balance, validate eligibility
  • Approve for payroll or voucher-based redemption

4. Set Rules for Auto-Crediting and Redemption

These rules are part of Engagement Settings.

Late Entry PenaltyDeduct Y points if employee punches in late more than Z times
Redemption LimitDefine minimum and maximum points that can be redeemed monthly
Redemption ModeChoose whether redemption happens via Payroll or Voucher
Reward Expiry Rules(If enabled) Expire unused points after a period (e.g., 6 months)

Best Practices

  • Use Tags or BU filters to run department-specific reward campaigns
  • Run a monthly audit of adjusted vs. redeemed points
  • Combine this with award triggers and quiz completions to auto-credit points
