Troubleshoot timesheet submissions

1. Timesheet not visible in panel

  • Check if the Timesheet module is enabled under Settings → Modules.

2. Project not showing

  • Ensure the project is:
    • Marked as Active
    • Assigned to the employee

3. Task not appearing

  • Tasks must be mapped to the right department/project.
  • Check whether “Make Assigned Tasks Mandatory” is enabled.

4. Backdated entry blocked

  • Check the configuration under Timesheet Configuration → Restrict after __ days.

5. Exceeding shift hours warning

  • Enabled under Timesheet Configuration → Restrict hours beyond shift duration.

6. Cannot submit

  • Ensure all mandatory fields are filled.
  • Look for validation errors (highlighted in red).

Frequently asked questions

Can timesheet entries be edited after submission?

No, once a timesheet is submitted, employees cannot edit it unless it is rejected by the manager or admin.

What you can do

  • The admin or approver must reject the timesheet.
  • Once rejected, it reopens for the employee to make edits.
  • The employee must then resubmit it for approval.
How can I check the approval status of my timesheet?

Employees can view the approval status via the Summary View.


Steps

  1. Log in to your portal.
  2. Go to Timesheet → Summary.
  3. For each date, you can see:
    • Status (Present, Absent)
    • Submitted Hours
    • Approval Status (Approved, Rejected, Pending)
Can I submit timesheet entries on mobile?

Yes, if your organization has enabled mobile access for HRStop, you can submit timesheets via the mobile browser or app.


Mobile features

  • Submit Daily or Weekly timesheets.
  • Select clients, projects, and tasks.
  • Save and submit for approval.

Check with your HR/IT team if mobile support is available in your organization’s HRStop plan.
