Enabling Password Protection on Generated Documents

Previewing a document allows administrators to review the generated document before creating the final version. This helps verify employee information, placeholder values, calculations, formatting, and manually entered information before generating the final document.

Navigation Path: Control Panel → Forms/Policies → Document Templates → Generate Document

Preview a Document Before Generation

To preview a document:

  1. Navigate to the Document Templates page.
  2. Select the required template.
  3. Select the employee.
  4. Review and update the required values.
  5. Click Preview.
  6. Review the generated document.
  7. Return to the generation screen if changes are required.

What Can Be Verified During Preview

Item Description
Employee Information Verify employee details populated from the system.
Placeholder Values Verify values populated through System Keys and administrator-defined Custom Keys.
Formula-Based Calculations Verify values generated using configured formulas.
Manually Entered Values Verify values entered during document generation.

When Should You Use Preview?

Previewing a document is particularly useful in the following scenarios:

  • Generating a document using a newly created template.
  • Generating a document after updating an existing template.
  • Generating compensation-related documents containing calculations.
  • Verifying manually entered values before generation.
  • Reviewing documents before publishing them to employees.

Where It Reflects

Preview displays how the generated document will appear after generation. Previewing a document does not create, save, publish, or download the document.

  • Preview does not generate the final document.
  • Changes can be made after previewing and before generating the document.
  • Formula-based values are calculated before the preview is displayed.
  • Preview should be reviewed carefully before generating employee-facing documents.
