Employee Skills Configuration

This section allows Admins to manage and customize employee skill updates and proficiency levels in HRStop. You can enable or disable the skills module for employees, define proficiency scales, and choose how skill updates are handled—automatically or through manager approval.

Only users with Admin access can configure skill proficiency and experience settings.


How to Configure Employee Skills Settings

Available Configuration Options

  1. Enable Skills for Employee
    • Allows employees to add and update their own skills in the system.
    • Skills will be reflected in their profile and contribute to a searchable internal skills database.
  2. Ask Experience Against Skills
    • Allows employees to specify their hands-on experience level for each skill.
    • Experience can be mentioned in months or years.
  3. Proficiency Scale Options
    You can choose one of the following options to rate skills:
    • 1 to 3
    • 1 to 5
    • 1 to 10
    • Custom scale (e.g., A: Beginner, B: Advanced, C: Expert)
  4. Approval Type
    Decide how skill submissions should be managed:
    • Self-Approved: Skills added by employees will be automatically saved and reflected in the system.
    • Approval-Based: Skills will remain in “Pending” status until approved by a manager or admin.

Notification Settings for Skill Updates and Approvals

Navigation Path:
Control Panel > Settings > Notifications > Skills Update

You can configure automated alerts to remind employees or their reporting managers to update or approve skills based on your organizational preferences.

  1. Skills Update Notification
    • Purpose: Sends a reminder if an employee has not updated their skills for a defined number of days.
    • Recipients: You can choose to notify the Employee and/or their Reporting Manager.
    • Configuration:
      • Set the number of days after which the reminder should be triggered.
      • Specify the email addresses (if applicable) to receive the notification.
  2. Skills Approval Notification
    • Purpose: Sends a reminder if a skill has been submitted but not approved by the manager within the defined timeframe.
    • Recipients: Reporting Manager.
    • Configuration:
      • Set the number of days after which the reminder should be sent.
      • Specify recipient email(s) as needed.

These reminders ensure that skills are regularly updated and timely approvals are completed, helping maintain a clean and accurate skill database within the organization.
