Managing the assets

We will discuss how you can manage the assets in the system.

You have to navigate to the control panel (main dashboard for system settings). After navigating to the control panel go to the asset section (module for managing company resources like laptops, phones, etc.).

You have to click on the View/Add option (the section where you can see and add records). In the View/Add option, you will be able to see all the company assets that are there in the company and you can filter all the information and get the company on the base of:

  • Categories (types/groups of assets)
  • Department
  • Designation (job title/position of employees)
  • Brand (manufacturer or make of asset)
  • Assignment (allocation of assets as assigned/unassigned)

You can also check through the employees (individual staff records) as well. If you want to see the asset assigned to a particular employee, you can also select the employee from here and then filter out the information. You can also get the assets on the base of life stages (status of the asset: new, working, not working, or dead) as well.

You can also download it in a CSV file (spreadsheet format) by export option and also you have the option of PDF export (document format) available.

When you scroll down, you'll be able to see all the assets name along with their codes (unique identifier), next service date (scheduled maintenance date), procurement (purchase/vendor details), who they are assigned to (employee allocation), when they have been assigned (issue date) and certain actions option (buttons for performing updates) in the front of the assets.

You have various action icons (shortcut buttons) available here, like:

  • Request Return (feature to initiate asset return) – If you want to request a return for that particular asset, you can click on that. You can write the expected return date and any comments while you are requesting the return of that particular asset.
  • Change Return Date (update feature) – You can also change the return date from this option.
  • Release (unassigning the asset) – In case the employee is leaving the organization, you want to release the assets from them. You can click on release, enter the information, and release the asset. Once released, you will be able to assign it to someone else.
  • Edit Assignment (update details) – You can click on edit any details you want to change in the assignment of assets. You can edit and then update.
  • Copy to New (clone option) – You can create a clone of this information, make minor changes, and then save it as new.
  • Delete (remove assignment) – Delete the assignment of the assets and all the information that you have entered regarding the same.

You can also group by (categorize view) and see the details by:

  • Asset category
  • Brand
  • Without any group

You can also perform some bulk actions (apply changes to multiple assets at once) like:

  • Select the options you want to perform actions on → checkmark those options → click on Actions.
  • You can assign in bulk.
  • You can update the life stage.
  • You can release it.
  • You can delete it in bulk.

For example, if you want to bulk assign or update the life stage in bulk to “new” for all three of them, you can do it from here.

Okay. So in this way you will be able to manage the assets from here for all the employees for which you have assigned the assets in the company.
