Assets notifications

Now we'll be discussing regarding the notifications that you can enable or disable for the assets accordingly from the system.

For enabling or disabling the notification for the assets you have to go to the control panel (main dashboard for system settings)settings (configuration options)notifications option (section to manage alerts and reminders).

On this notifications option you'll be able to see the notifications (system-generated alerts) for all the modules. Just search the name of assets here and you'll be able to see the assets section (dedicated notification settings for assets) for the notification.

Here there are various notifications (predefined triggers for system events) that are defined for assets:

  • Asset Assigned Notification (alert when an asset is allocated to someone)
    • You have the notification, you can send it to whichever participant you want, whether it is an employee (staff member), reporting manager (direct manager), HOD (Head of Department), BU Head (Business Unit Head), or Super Admin (system administrator).
    • You can choose the particular recipients of this email when an asset is assigned to someone.
    • You can add any emails in the CC (carbon copy) that you want from here—who should be aware about this asset assignment as well.
  • Asset Released Notification (alert when an asset is unassigned)
    • We have the notification available for return date (the scheduled date for returning the asset).
    • If some asset’s return date is changed (pre-poned or postponed), then in that case also you can enable the notification for that.
    • The respective recipient will receive the same in the email.
  • Asset Acknowledgement Notification (confirmation email of asset assignment)
    • You can also enable who should be receiving this asset acknowledgement email.
  • Asset Warranty Expiry Notification (alert before warranty end date)
    • If some asset’s warranty is going to end in a certain number of days, you can enter the days before due (lead time before expiry) on which you want the notification to go.
    • Example: if some asset is expiring in two days or five days, their warranty is going to end and you want to send a notification regarding the same, you can enter the number of days before the due date.
    • You can set this notification to go to the Super Admin (system administrator).
    • Any email you want to put in CC (additional recipients), you can put in here.
  • Asset Exhausted / Asset Deleted Notification (alerts for removal or depletion of assets)
    • You can enable the notification accordingly regarding the same.
    • You can also add the emails in the CC and click on the Save option (button to store the changes).

So the respective participants (recipients enabled in settings) or those who have been added in CC will receive the asset notifications accordingly from the system.
