Asset Module

Purpose
The Assets module in HRStop enables organizations to manage, track, and maintain records of company-owned assets in a structured and centralized manner. It helps streamline asset allocation, track usage, ensure timely returns, and maintain detailed records for better compliance and reporting.

Assets can be physical items such as laptops, mobile devices, office furniture, or vehicles, as well as intangible items like software licenses or intellectual property. Admins can assign assets to employees, monitor their status, and maintain all relevant information in one place.

The module supports:

  • Asset name and code entry
  • Asset category mapping
  • Assignment tracking (employee, assigner, and assignment date)
  • Return date tracking
  • Procurement details, vendor name, cost, and service schedule

Who Should Use This

  • Employees – to view the assets assigned to them and request returns or replacements.
  • HR/Admins – to configure the module, add assets, assign them, and maintain organization-wide asset records.

When to Use This

  • When new assets are procured and need to be assigned.
  • When tracking asset usage and life cycle for employees.
  • During audits, inspections, or reporting on organizational resources.
  • To generate reports on asset allocation, service schedules, and returns.

Assets Module – Workflow and Guides

  1. Configuration (Admin Access)
    Set up the Assets module and configure categories for easier asset management.
  • Enabling Asset Module – Admins can enable the module via:
    Control Panel → Settings → Module → Enable Asset Module → Update
  • Asset Categories – Define categories to classify assets and simplify reporting and management.
  1. Asset Entry and Management
    Learn how assets can be added and managed by admins.  
  • Adding and Managing Assets – Admins can add assets individually or in bulk using a sample CSV file.
  • Assigning Assets – Admins can assign assets directly while adding them or keep them unassigned for future allocation.
  • Tracking Asset Details – Maintain detailed information such as assigner, assignee, assignment date, return date, procurement details, vendor, and life stage.
  1. Reporting and Analytics
    Generate reports for better visibility and tracking of assets across the organization:
  • Asset Allocation Report – Track which employee holds which asset and its return status.
  • Service and Procurement Report – Monitor next service dates, procurement costs, and vendor details.
