Purpose
This article explains how Administrators can view detailed information for any employee loan, including repayment transactions, outstanding amounts, and the complete approval and disbursement history.
The Loan Details page provides a single view of all information related to the loan’s lifecycle — from creation to repayment.
When You May Need This
Use this feature when:
- You want to review repayment history or verify EMI transactions recorded through payroll or manually.
- You need to check the remaining payable amount and repayment progress.
- You want to review the audit trail showing when the loan was approved, disbursed, and by whom.
Step-by-Step Guide
- Log in as an Administrator with access to the Payroll module.
- Navigate to Control Panel → Payroll → Loan → All Loans.
- Locate the employee loan record you wish to review.
- Under the Action column, click View Loan Transaction Details.
- The Loan Details page opens, displaying:
- Loan Summary: Employee name, loan amount, tenure, interest, EMI, EMI start month, and remaining amount.
- Payments Section: List of all EMI transactions recorded so far, along with transaction date, payment reference, and amount.
- Add Transaction Option: Allows administrators to add new repayment entries if additional or missed transactions need to be recorded.
- Approval & Disbursement History: Displays audit trail of all approval and disbursement actions with approver names, status, and timestamps.
- To export or download the record, click the Export button on the top-right corner of the page.
Where It Reflects
- The Loan Details page is accessible from Control Panel → Payroll → Loan → All Loans.
- Employees can view a simplified version of their loan repayment details and status in their Self-Service Portal → Payroll → Loan section.
- All updates, including added transactions or approvals, are reflected instantly in this view.
Pro Tips
- Use this page for monthly audits or before payroll processing to confirm EMI deductions.
- The Remaining Amount auto-updates as transactions are added.
- Only administrators can add or edit repayment transactions; employees can view details only.
- The approval/disbursement trail helps track all loan actions for transparency and audit compliance.
