In this video, we will discuss the offboarding process and how offboarding begins for an employee in the system.
0:08
Offboarding starts with a Separation Request.
0:12
In this process, the employee raises a separation request, it goes for approval, and once approved, the offboarding workflow is triggered automatically.
0:18
Before starting offboarding, the first step is to check whether the Separation Request module is enabled for your organization.
0:24
To verify this, log in as an admin and navigate to the Control Panel.
0:28
Go to Settings and then open the Modules section.
0:33
Search for the Separation Request option.
0:38
Once you locate it, enable the Employee Separation Request option in the Self-Service Portal.
0:44
This allows employees to raise separation requests directly from their portal.
0:49
You can also configure additional options while enabling separation requests.
0:53
You can allow or restrict employees from revoking a separation request.
0:57
You can choose whether the desired relieving date should be visible to employees.
1:01
You can also enable an acknowledgement step before submitting the separation request.
1:06
Additionally, you can make document upload mandatory while raising a separation request.
1:10
You can decide whether the reporting manager is allowed to approve separation requests.
1:15
Enable or disable these options as per your company policy.
1:19
After making the required changes, click on Update to save the settings.
Employee View – Raising a Separation Request
1:26
Once enabled, employees will see a Separation Request option under the My Home section.
1:31
By clicking on Separation Request, employees can raise a new separation request.
1:36
Employees need to mention the reason for separation.
1:40
The desired relieving date will be auto-calculated based on the notice period defined in the employee profile or company policy.
1:46
Employees can also provide confidential feedback that will be visible only to HR.
1:51
They can share their experience and feedback about the organization.
1:56
Details such as notice period, relieving date, and attachments will be visible before submission.
2:01
Once submitted, the separation request is sent for approval.
Admin View – Managing Separation Requests
2:06
After an employee raises a separation request, admins can view it from the Control Panel.
2:10
Navigate to Employees and then Separation Requests.
2:15
Here, you can see all separation requests raised by employees.
2:19
You can view employee details, requested dates, and the desired relieving date.
2:24
You can open the request to review details and provide approval accordingly.
2:29
Once approved, multiple actions become available.
2:33
You can trigger the offboarding workflow from here.
2:37
You can add notes, generate documents, or mark the request as complete.
2:42
You can also deactivate the employee directly or raise a requisition request if required.
Admin-Initiated Separation Requests
2:48
Admins can also create separation requests on behalf of employees.
2:52
This is useful in cases such as termination, absconding, retirement, or contract completion.
2:58
To do this, go to Control Panel → Employees → Separation Requests.
3:03
Click on the Create New option.
3:06
Select the employee for whom the separation request needs to be raised.
3:10
Choose the exit type, such as resignation, termination, absconding, or retirement.
3:15
Select the reason type and request date.
3:19
Enter the desired relieving date as applicable.
3:23
You can also add notes and upload supporting documents if required.
