Investment declaration: admin access
HRStop lets you manage employees' investment declarations. Employees can fill in the investment declaration in the portal and submit it. You, as the admin, can also fill in the investment declaration on behalf of an employee.
You need to enable the investment declaration option so that employees can also fill in the details through their portal. To enable the investment declaration, navigate to Control Panel → Payroll → Investments, select the financial year, select Enable Investment Declaration and click the Update button.
Follow these steps to declare investments on behalf of an employee:
- Navigate to Control Panel → Payroll → Investments.
- In the window that opens, click the +Add new button in the page action bar. A page appears, showing the fields to declare the investment. (To import the investment declaration, click the Import button)
- Select the employee, fill in the details and click the Submit button at the bottom of the page to submit the form.
To approve/reject an investment declaration:
- Navigate to Control Panel → Payroll → Investments. The investments declared by employees are shown in a table with detailed information.
- You can Filter the entries by the status of investment (Approved/ Rejected/ Submitted/ Not Submitted).
- Approve/reject the investments declared by employees by clicking the respective icons in the Actions column. You can also perform a bulk action by selecting the entries, clicking the Actions drop-down and selecting the approve/reject option.
Note:
- Employees can't fill in the investment declaration details if no salary template is assigned to them. Update/assign a salary template to the employee, and then ask the employee to update the investment declaration from the Main panel.
- Once an employee has declared an investment, they cannot edit/update it. To allow edits, you have to reject the entry (the data is not lost when an entry is rejected).
