HRStop's Form 16 / Form 130 Copilot automatically reads the PAN number from each uploaded document and attempts to identify the corresponding employee in HRStop.
If the Copilot is unable to find a matching employee record, the document cannot be assigned to the employee and therefore will not be visible in the employee portal.
What Should You Check?
- Employee Record Exists in HRStop The employee for whom the Form 16 / Form 130 has been uploaded must exist in HRStop. If the employee record is not available, the Copilot cannot assign the document.
- PAN Number Is Updated in HRStop The employee's PAN number must be updated in their HRStop profile. The Copilot uses the PAN number present in the document to identify the employee record.
- PAN Number Matches the Uploaded Document Ensure that the PAN number stored in HRStop exactly matches the PAN number mentioned in the uploaded Form 16 / Form 130 document. Even if the employee exists in HRStop, the document cannot be assigned if the PAN numbers do not match.
Resolution
- Add any missing employees to HRStop.
- Update missing or incorrect PAN numbers.
- Re-upload the Form 16 / Form 130 files.
Once the employee records and PAN details are corrected, the Copilot should be able to identify the employees and assign the documents successfully.

The following situations can prevent successful document assignment:
- Employee exists in the uploaded file but does not exist in HRStop.
- Employee exists in HRStop but PAN number is missing.
- PAN number in HRStop does not match the PAN number present in the document.
