Adding an asset

The system provides admins with the ability to define, manage, and track company assets, including detailed descriptions and assignments. Admins can add, assign, and request the return of assets, as well as perform bulk imports using the "Import" option.

To Add an Asset, Follow These Steps:

  1. Navigate to: Control Panel → Assets → View/Add.

  2. Click the +Add button (Top-right corner). This will open a new page with all the necessary fields to add an asset.

Note: The process of adding an asset is broken into three main sections: Add Asset, Procurement Details, and Assign Asset.


Add Asset Section:

  1. Asset Category: Select the type of asset you are adding.

  2. Brand: Choose the brand of the asset. If the brand is not listed, select "Other," enter the brand name, and the system will create it automatically.

  3. Title: The title will auto-populate based on the selected category. You can edit it as needed.

  4. Description: Add a description for the asset, if necessary.

  5. Location: Choose the location where the asset is stored.

  6. Asset Code:

    • Code 1: This would be a unique Code. (We usually recommend saving product serial number for unique identification).

    • Code 2: is again a unique human readable code. This will be automatically generated by the system based on the predefined Code Pattern for the selected category. However, you still have the choice to edit it if required.

  7. Life Stage: Choose the current status of the asset:

    • New: When the asset is brand new.

    • Working: When the asset is in good working condition.

    • Dead: When the asset is fully non-functional.

    • Not Working: When the asset is not functioning properly but could potentially be used after repairs.

  8. Next Service Date: Select the asset’s next service date.

  9. Picture: Upload an image of the asset by selecting the file and uploading it.

  10. Document: If applicable, you can upload any related documents such as warranty cards, insurance papers, or guarantee certificates.

  11. Notes: Add internal notes about the asset (visible only to admins).

Procurement Details Section (Optional):

If desired, you can fill out the following procurement details for the asset:

  1. Vendor Name: Enter the name of the vendor from whom the asset was purchased.

  2. Purchase Date: Select the date of purchase.

  3. Warranty End Date: Enter the warranty expiration date.

  4. Cost: Enter the asset's purchase cost.

  5. Invoice Number: Enter the asset's invoice number.

  6. Upload Invoice: If you wish, upload the invoice by selecting the file and uploading it.

Assign Asset Section (Optional):

If you want to assign the asset to an employee, follow these steps:

  1. Select Employee: Choose the employee to whom the asset will be assigned.

  2. Issued On: Select the date the asset was issued.

  3. Expected Return Date: Choose the expected return date for the asset.

  4. Comments: Add any relevant comments or additional information.

Saving the Asset:

  • After entering all required information, click Save to add the asset.

  • To add more assets, click Save and Add More.


Note: If you need custom fields to be visible for storing extra information while adding an asset, you can add those fields to the asset category. 

For example, if you are adding a CPU as an asset but also want to capture information typically associated with CPU—such as model, RAM, warranty, color, and processor type—you can do so.

FAQ

Yes, you can generate and print barcodes at the time of asset creation or later.

Steps:

  1. Go to Control Panel → Assets → View/Add
  2. Find the asset and click the eye icon next to the Asset Code field
  3. The system will generate a barcode based on the asset code
  4. Download and print the barcode to stick on the asset

Asset Life Stages represent the current condition or usability of the asset.

Yes, assets can be assigned during the creation process.

Steps:

  1. While adding an asset (Add Asset page), scroll to Assign To section.
  2. Select the employee from the list.
  3. Enter the Issue Date and Expected Return Date.
  4. Add optional comments.
  5. Click Save.

This saves time by assigning assets right at the time of creation.

Releasing an asset detaches it from the currently assigned employee, making it available for reassignment. This is commonly used when:

  • An employee leaves the company
  • Assets are no longer needed
  • Devices are collected for servicing or reallocation

To release an asset:

  1. Navigate to Assets → View/Add.
  2. Find the asset currently assigned.
  3. Click on the Release icon (usually next to the asset).
  4. Enter a reason/comment if needed and confirm.

The asset’s status will now change to Unassigned, and it can be reassigned or moved to a different live stage.

Yes. If the expected return date changes due to project extension or employee retention, you can update it easily.

To change the return date:

  1. Go to Assets → View/Add.
  2. Search for the asset in question.
  3. Click the Change Return Date icon.
  4. Update the new return date and provide a reason or note (optional).
  5. Click Save.

The new date will be reflected in reports and reminders accordingly.
