As a Reporting Manager in HRStop, you have the authority to review, approve, reject, or delete On Duty requests submitted by your team members. This ensures that attendance and leave records are accurately maintained and aligned with business needs.
Step-by-Step Guide:
Navigate to the On Duty Management Section:
- Log in to the Main Panel.
-
Go to:
Main Panel → Leaves → Approve → Approve On Duty Tab
This will open a list of all On Duty requests submitted by your direct reports.
Review the Requests:
- Scroll through the list to view all pending, approved, or rejected requests.
-
Each row will show details such as:
- Employee Name
- Leave Period
- Reason for On Duty
- Status (Pending/Approved/Rejected)
- Supporting Document (if uploaded)
Use Search & Filter Tools:
- Use the search bar to find requests by employee name.
-
Apply filters based on:
- Status (Pending, Approved, Rejected)
- Date range (specific leave periods)
This helps narrow down requests for quicker review.
Take Action on Individual Requests:
In the Actions column:
- Approve – Click the green tick icon to approve the request.
- Reject – Click the red cross icon to reject the request.
- Delete – Use the trash bin icon to delete the request (if needed).
Once you click any of these icons, the system updates the request instantly.
Perform Bulk Actions (Optional):
To manage multiple requests at once:
- Check the box beside each request you want to update.
- Click the Action dropdown (above the table).
-
Choose one of the following:
- Approve
- Reject
- Delete
This is especially useful when handling a large number of similar requests (e.g., all team members were On Duty for a training session).
Real-Time Updates:
- All approvals, rejections, or deletions take effect immediately.
- Employees are notified based on your action, and their leave records update accordingly.
Helpful Tips:
- Always review the reason and document (if attached) before approving.
- Use filters to handle large lists efficiently.
- Be mindful when using bulk delete or reject — actions are irreversible.
