Editing a Document Template

Document templates can be modified whenever template content, document wording, Custom Keys, formulas, or default values need to be updated.

Authorized administrators can edit existing templates and update their configuration without creating a new template.

Navigation Path: Control Panel → Forms/Policies → Document Templates

Open a Template for Editing

  1. Navigate to the Document Templates page.
  2. Locate the required template.
  3. Click the Edit icon.

The template opens in edit mode.

Update Template Details

Administrators can update:

  • Template Name
  • Description
  • Associated Module

After updating the required information, save the changes.

Replace the Template File

If the document content requires changes:

  1. Upload the revised template file.
  2. Review the detected Custom Keys.
  3. Verify that all required Custom Keys are configured correctly.
  4. Save the template.

When a new file is uploaded, the system re-evaluates the Custom Keys available within the document.

Review and Update Custom Keys

Administrators can review and update:

  • Existing Custom Keys
  • Default Values
  • Formula-Based Values
  • Supporting Custom Keys

Download the Existing Template File

Administrators can download the currently uploaded template file before making changes.

This can be useful when:

  • Reviewing template content
  • Creating a revised version
  • Maintaining a backup copy

Save the Changes

After completing the required updates:

  1. Review the template configuration.
  2. Verify all Custom Keys and formulas.
  3. Save the template.

Where It Reflects

Changes made to a template are reflected the next time documents are generated using that template. Previously generated documents are not automatically updated.

Important Notes

  • Only users with authorized administrative access can edit document templates.
  • Review Custom Key configurations whenever a template file is replaced.
  • Ensure any newly added placeholders are configured before saving the template.
  • Changes apply only to future document generation.
  • Previously generated documents remain unchanged.
