Employees details update in bulk via CSV

HRStop allows admins or super admins with employee module permissions to update employee records in bulk using a CSV file. This feature simplifies the process of making mass updates by treating the newly imported data as the latest and most accurate version.

Purpose

This guide walks you through the process of bulk updating employee information in HRStop—without the need to edit each profile manually.

Steps to Bulk Update Employees via CSV

  1. Navigate to: Control Panel → Employee → View/Add
    On this page, you will see the list of existing employees.
  2. Open the Bulk Update Page
    Click the dropdown arrow next to the +Add button in the page action bar.
    Select Bulk Update from the menu. A new page will open.

3. Download the Sample CSV
Click the option to Download Sample CSV. Open the file and edit the employee details you want to update.



     Important Notes:

    • Use either Employee Code or Employee Email ID as a unique identifier for each employee.
    • These identifiers (Employee Code/Email ID) themselves cannot be updated through this process.
    • Only the values present in the uploaded file will be updated. Missing values will be ignored, not deleted.
    • Ensure all date formats are consistent across the file (e.g., dd/mm/yyyy or mm/dd/yyyy).
    1. Prepare the CSV File
      Edit the downloaded file with the necessary data updates. You may delete columns you do not wish to update.
      Mandatory fields like Employee Code or Employee Email ID must remain in the file.
    2. Select the Date Format
      Choose the date format used in your file from the dropdown in the system.
    3. Review and Upload the File

      • Click Review & Upload to preview data before submission.
      • Alternatively, click Upload to directly upload the file.
      • On the preview screen, click Upload again to confirm.

        Check Import Logs

        Once the upload is complete, the system will show a log for each record:

        • Status: Indicates whether the entry was Accepted or Rejected.
        • Reason (for rejections): Helps identify issues for correction and re-upload.

        Troubleshooting Tips

        • File Not Uploading: Confirm that all mandatory columns (Employee Code or Email ID) are included and properly formatted.
        • Incorrect Date Updates: Ensure your CSV date format matches the format selected in the system during upload.

      To streamline compliance management, HRStop offers a Bulk Update feature that allows administrators to update compliance details (such as PAN, Aadhaar, etc.) for multiple employees simultaneously. Here’s how to use it:

      1. Login to HRStop using your admin credentials.
      2. Navigate to Control Panel → Employees → View/Add.
      3. In the View/Add section, click the Import drop-down at the top-right.
      4. Select the Bulk Update option.
      5. Download the provided template or prepare a CSV file with the necessary employee compliance data.
      6. Upload the CSV file in the Bulk Update interface.
      7. Review the uploaded data to ensure it's accurate and complete.
      8. Click Execute/Update to apply the changes.

      Once processed, the system will update the records accordingly and display a confirmation. This feature helps ensure efficient and error-free compliance updates across your organization.

      Yes, you can remove personal email IDs for all employees using the Bulk Update feature. Follow these steps:

      1. Navigate to Control Panel → Employees.
      2. Click on Bulk Update from the dropdown menu.
      3. Download the CSV file containing current employee data.
      4. Open the CSV file and locate the column containing personal email IDs.
      5. Delete the email addresses from that column (leave the cells blank).
      6. Save the updated CSV file.
      7. Go back to the Control Panel → Employees → Bulk Update.
      8. Upload the modified CSV file.

      Once uploaded, the system will process the changes and remove the personal email IDs for all listed employees.
