Manage email alerts and notifications

HRStop lets you configure notification settings to manage mail alerts for various events. The super admin or admin (or anyone with permission for the Settings module) can enable or disable the "Mail alerts" facility for "Events". They can also add the email IDs of authorized people so that notifications are sent to them as well. The admin or super admin can add as many email IDs as they like in the Email field.

The events are:

  • Employee Registration
  • Employee Profile Updated
  • Document Uploaded
  • Shift Assigned
  • Leave Applied
  • Leave Approve or Reject
  • Expense Report Filed
  • Expense Approve, Reject And Mark as paid Asset.

  • Asset Release
  • Change Asset Return Date
  • Job Added
  • Job Applied

How to set up notifications and email alerts for events

  • Go to Control Panel → Settings → Notification.
  • A new screen opens with the header ‘Notifications’.
  • Enter the Reply To email ID. This is the reply-to address in the emails; all replies to the system are received at this email ID.
  • Select the Club Notifications check box wherever applicable. This means that all notifications of a particular type are sent to the reporting manager/admin at once.
  • A list of events, grouped by module, is shown in a table.
  • Select (tick/check) the events for which you want notifications to be sent. You can manage them from this page.
  • In the ‘Email/Mobile(comma separated)’ column, add the email IDs/mobile numbers of anyone else you want to notify, apart from the super admin/admin/reporting managers, etc.
  • Scroll down and click the Save button to save the settings.

How to view/delete email IDs in the suppression list

  • You can view the email IDs in the suppression list at Control Panel → Settings → Notifications → Suppression list.
  • A new window opens, listing all the email IDs that have been suppressed and cannot receive any email.
  • To delete an email ID from the suppression list, click the delete option next to it.
  • Clicking Delete sends an OTP to the email account of the user who is deleting the email IDs.

Note: A Buy More option (at the top right) is also available to buy SMS credits for the system. The SMS balance is shown at the top of the page.
