Broadcast an email

Purpose:

To send formal announcements or updates directly to employee inboxes, bypassing the portal.


Steps to Broadcast Email:

  1. Navigate to: Control Panel → News and Broadcast → Broadcast Email
  2. Set Recipient Filters:
    Use the filters provided to narrow down your target audience:
    • Employee Status: Choose Active or Inactive
    • Department: Select specific teams/departments
    • Location: Filter by office or geographical location
    • Employment Type: Full-time, Part-time, Intern, etc.
    • Gender: If relevant to the announcement
  3. Compose Email:
    • Subject: Title of the email (e.g., “Reminder: Benefits Enrollment Ends This Friday”)
    • Message Body: Write the main content of the announcement. Include links or action steps if necessary.
  4. Optional: Test the Email
    • Enter a valid test email address in the Test Email field
    • Click Test Email to preview how the email will appear in the recipient's inbox
  5. Click:
    Send to broadcast the email to all filtered recipients.

Notes:

  • This email will not appear on the employee dashboard.
  • Ensure email addresses are correctly maintained in employee profiles for successful delivery.

HRStop allows you to preview your email broadcast using the Test Email feature.

How to Test a Broadcast Email:

  1. Navigate to: Control Panel → News and Broadcast → Broadcast Email
  2. Compose your message:
    • Fill in Subject and Message Body
    • Add any formatting or links as needed
  3. In the Test Email field, enter a valid email address
  4. Click on Test Email

=> A copy of the email will be sent to the test address, allowing you to:

  • Check formatting
  • Confirm spelling and grammar
  • Verify link functionality

Once satisfied, proceed to set recipients and click Send to broadcast the email.
