Activate/Deactivate employees

HRStop provides administrators with a seamless way to manage the employment status of team members through activation and deactivation options. This feature is especially helpful when temporarily suspending an employee without losing their data, or reactivating them when they return.

What Does Deactivating an Employee Do?

Deactivating an employee in HRStop suspends their access to the system while retaining all of their details. This is useful in cases such as long leaves, contract holds, or temporary separation.

Steps to Deactivate an Employee

  1. Go to Control Panel → Employees → View/Add.
  2. You’ll see a list of all employees in the system.
  3. Use the Search bar to find the specific employee by name.
  4. Click on the Deactivate icon under the Actions column next to the employee’s name.
  5. The employee will be instantly suspended, and their status will change to inactive.

Note: Deactivated employees cannot log in, but their records remain intact for administrative reference.


How to Reactivate a Deactivated Employee

If the employee is returning, you can reactivate them easily:

  1. Go to Control Panel → Employees → View/Add.
  2. Use the filter tags to view Inactive employees.
  3. Find the desired employee and click the Activate icon under the Actions column.
  4. The system will immediately restore their access and mark them as active.

Filtering Employees by Status

Use the filter tags at the top of the View/Add page to quickly find:

  • Active employees
  • Inactive (deactivated/suspended) employees
  • Pending employees (new or onboarding)

HRStop’s activation/deactivation options ensure you can maintain accurate employee records without needing to permanently delete data. It's an efficient way to manage workforce changes while keeping the system clean and organized.
