Forms Policies: Overview

The Policy module in HRStop allows administrators to create, manage, and share company policies with employees. Policies can include documents such as codes of conduct, leave and attendance rules, referral guidelines, or any other organizational policy that employees need to read and follow.

Administrators can upload policy files or add policy content directly in HRStop. Once a policy is published, it becomes visible to the employees it applies to. Administrators can also require employees to acknowledge that they have read a policy, and can track acknowledgement status for each employee from the Control Panel.

Who Should Use This Module This module is used by administrators to create and manage policies. Employees use the Main Panel or the HRStop mobile app to view and acknowledge policies that apply to them.

What Administrators Can Do Administrators can perform the following actions in the Policy module:

  • Add a new policy with a title, content, and an uploaded file
  • Define which employees a policy applies to using department, location, band/grade, and business unit filters
  • Publish or unpublish a policy to control employee visibility
  • Enable acknowledgement to require employees to confirm they have read a policy
  • Restrict system access for employees who have not yet acknowledged a policy
  • Edit or delete existing policies
  • Track acknowledgement status employee-wise and send reminders to employees with pending acknowledgements

What Employees Can Do Employees can view all published policies that apply to them from the Main Panel or from the HRStop mobile app. If a policy requires acknowledgement, employees will see an Acknowledge Policy button on the policy details page. Employees can submit their acknowledgement along with an optional comment.

Only administrators with authorized permissions can create, edit, publish, and manage policies from the Control Panel.

Employees can view all published policies that apply to them by going to Main Panel and selecting Policies. Policies can also be viewed from the HRStop mobile app.

Go to Control Panel → Forms/Policies → Policies. Click on Edit button against the concerned policy. Scroll fdown to applicability section. Select the applicability as suggested above.

If no filter is selected, the policy applies to all employees.

Policy acknowledgement is a feature that requires employees to confirm they have read a policy. When enabled, an Acknowledge Policy button appears for the employee on the policy details page.

Go to Control Panel → Forms/Policies → Policies.

Locate the policy and click the View Acknowledgements icon in the Actions column.

This opens the acknowledgement tracking screen for that policy, showing each employee's acknowledgement status.

If the Restrict System Access option is enabled for a policy, employees who have not acknowledged it will be unable to access the HRStop application until they do so.
